Data we process and why

Contact form and email enquiries. If you send an enquiry through the form, we process your name, email address, reason for contact and message to reply and manage the conversation. The form sends these details to the Cloudflare Worker, which processes them to ask Resend to deliver an email to info@amic4paws.org; the enquiry is then held in the Hostalia mailbox. The Worker does not store the form content in Cloudflare D1 or R2. Cloudflare also processes technical data, such as your IP address, to protect the service and limit automated or repeated submissions. The privacy checkbox is required to submit the form. If you email info@amic4paws.org directly, we process the information you include for the same purpose. We keep correspondence for up to 12 months after the last relevant interaction, unless you ask us to delete it sooner or we must retain specific information to meet a legal obligation. Resend may temporarily retain messages and logs under its own periods, as described in the providers section.

Digital Diagnosis. Your browser temporarily processes your answers to complete the questionnaire and show the basic result on screen, without asking for an email address. If you request the extended report, your answers are sent to the Cloudflare Worker, which validates them, recalculates the result and generates the PDF. The Worker does not store the questionnaire or result for later retrieval.

Extended report. If you request it, we process the answers needed to calculate the report, your organisation’s name, your email address and, if provided, the contact person’s name. Cloudflare generates the PDF and Resend delivers it to the address provided. An internal copy of the email and report is kept for up to 12 months after delivery; you may ask us to delete it sooner. Cloudflare D1 stores a minimal record of the request and consents —not the answers or a retrievable result— to evidence the delivery and the choices made.

AI Microdiagnostic. We process your answers, organisation name and email address to calculate an indicative result and send the result and Responsible AI Guide. The calculation uses deterministic rules and does not send answers to a generative model. The Worker does not retain the answers or result after preparing the email.

Optional communications. The Digital Diagnosis and AI Microdiagnostic forms include a separate, optional checkbox through which you can authorise occasional communications about digital transformation, technology and artificial intelligence for animal-protection organisations. You do not need to tick it to receive the report, result or guide. The Worker records in Cloudflare D1 whether you have given this authorisation. If you tick the box, it also sends an internal notification to the person responsible; you are not added automatically. After checking the consent, the person responsible manually adds your email address to Resend’s recipient list and subscribes it to the private “Comunicacions Amic4Paws” topic. Campaigns are sent only to people who have authorised these communications and are subscribed to that topic. You can withdraw your consent at any time using the unsubscribe or preference-management link available in campaigns, or by writing to info@amic4paws.org. If you contact us by email, we will manually update your Resend subscription.

Technical data. The publishing platform and infrastructure providers may process technical data needed to deliver and protect the website, such as IP address, date/time, browser, requests and errors. Visitor Analytics is disabled and, after reloading the public website, the /~flock.js script that enabled it was no longer loaded. No optional analytics cookies, advertising or cross-site tracking are used. The feature was enabled during the owner’s tests; disabling it prevents new measurements but does not confirm deletion of historical data the provider may retain.

We do not ask for health data, identity documents, bank details or case files. Do not include sensitive information or other people’s personal data in answers or messages.

Legal basis

We process the answers and delivery details needed to provide the free resource you request, on the basis of the steps you ask us to take before providing it. Requesting the extended report or AI Microdiagnostic result does not subscribe you to marketing communications. If you select the optional communications choice, the legal basis is your consent, which you may withdraw at any time. To reply to enquiries sent through the form, the legal basis is your consent, which you give by ticking the required checkbox before submission. You may withdraw it and request deletion by emailing info@amic4paws.org; this does not affect the lawfulness of processing before withdrawal. For enquiries sent directly by email, we use the information needed to respond to your request and rely on our legitimate interest in managing the communication received. We retain a minimal record of the request and choices made to evidence how it was handled.

Providers and international transfers

The website is published using Lovable. Cloudflare provides the Worker that calculates results and generates PDFs, while D1 stores minimal evidence of report requests. Resend is used to send emails containing reports, results and guides, and to manage the recipient list for authorised optional communications. Hostalia provides the corporate mailbox where enquiries sent through the form or directly by email are received and retained, as well as the internal copy of the extended report.

Cloudflare and Resend may process information outside the European Economic Area. Resend states that it stores customer data in the United States; its transfers rely on the Standard Contractual Clauses and mechanisms described in its DPA. Cloudflare also provides for international transfers and the safeguards described in its DPA. For further information about providers and safeguards, contact info@amic4paws.org.

Retention and security

Answers and results are not retained in the Worker for later access. The internal copy of the extended report is deleted no later than 12 months after delivery, or earlier if you request deletion. Email enquiries are generally deleted 12 months after the last relevant interaction. Resend temporarily retains messages and logs under its provider retention periods, which are separate from Amic4Paws’ own retention periods. Information that must be kept to meet a legal obligation will be restricted and deleted when no longer necessary.

We apply reasonable safeguards to protect information and limit access to people who need it to provide the service. No system connected to the Internet can guarantee zero risk.

Your rights

You may request access, rectification, erasure, restriction and, where applicable, data portability or object to processing. You may also withdraw consent at any time. Email info@amic4paws.org and tell us what you are requesting; do not send identity documents unless they are necessary to resolve a reasonable doubt about your identity.

If you believe that your data have not been handled in accordance with the law, you may complain to the Spanish Data Protection Agency at www.aepd.es.

Changes

We will update this policy if our purposes, tools or data practices change. The applicable version is the one published on this page.
